The bid journey

Every step from finding a notice to recording the outcome — the same words the How-to map and the tender stepper use.

  • /how-to

One tender, one path: find it, qualify it, commit to it, then build and submit — every step feeds the next. Go / no-go is the one hard gate: a bid plan is only built for tenders you have committed to. Two steps are recommended rather than required, and say so. Pipeline columns are stages (Qualifying, Live, Submitted); the steps here are what moves a tender between them. Signed in, the How to page draws this as a map and, for one tender, marks where it is.

  1. Find tenders

    Why
You only win what you see early.
    WayWiser does
Watches the public FM notice feed and fit-scores every notice against your company profile — service lines, regions, value bands, buyer types.
    You do
Set a minimum fit and read the rationale on the rows that clear it.
    Unlocks
    Add to pipeline.
  2. Add to pipeline

    Why
One record per pursuit — pack, scorecard, clarifications, plan, submission and outcome all hang off it.
    WayWiser does
Turns the notice into a tender with a page of its own and fetches any buyer-published documents the notice links to, when the portal allows it.
    You do
Add it from Find, or start a private invitation from the Pipeline page.
    Unlocks
The tender page — and every step below.
  3. Upload the ITT pack

    Why
The evaluation matrix, checklist and clarification flags are read from the buyer’s own documents, not from the notice.
    WayWiser does
Stores every volume against the tender, ready for analysis.
    You do
Drop in every volume — instructions, questions, specification, pricing schedule.
    Unlocks
    Analyse the pack.
  4. Analyse the pack

    Why
This is where the pack becomes a plan you can work from.
    WayWiser does
Reads the pack into the evaluation matrix — questions, weights, word limits, rubric, submission checklist — with a confidence on every field. Anything it is unsure of is flagged for you, never guessed. Usually 4–8 minutes; you don’t need to stay on the page.
    You do
Click Analyse, then read the flags when it lands.
    Unlocks
Clarifications and, with a go / no-go decision, the bid plan.
  5. Resolve clarifications

    Recommended, not required
    Why
Each answer removes a guess from the plan — and from your own bid / no-bid call.
    WayWiser does
Turns the flags worth asking into portal-ready questions, and applies a corrected weighting to the plan with the buyer’s answer as its provenance.
    You do
Log the ones worth asking, send them through the portal, paste the answers.
    Unlocks
Nothing is gated on this — it is recommended, not required. Score the go / no-go now and re-run it when the buyer answers.
  6. Before you decide

    Recommended, not required
    Why
A short Q&A on what the scorecard cannot see — capability, capacity, appetite, the incumbent.
    WayWiser does
Prepares the questions after the pack is analysed (or from the notice alone): the catalogue topics of every unscored factor plus a few tender-only ones from the pack, and searches held award notices — and the web, where configured — for the current provider.
    You do
Answer what you know; tick "we don't know" where you don't. Each answer is dated, attributed and kept in the facts bank — company-level answers are offered again on the next bid while they hold.
    Unlocks
Nothing is gated on it — optional, but each answer scores a factor the platform’s data cannot, so the go / no-go covers more of the weighting and says which factors are evidenced and which are still unknown.
  7. Go / no-go — required

    Required · gate
    Why
The plan, drafting and evidence retrieval cost real time and money, so WayWiser builds them only for tenders you have committed to — and the logged decision is what later tells you whether your calls were right.
    WayWiser does
One click — scored from your win history, facts bank and delivery profile, each factor with its basis; then you decide.
    You do
Run it, read the bases, then Commit to bid or record a No-bid. Going against the recommendation needs a reason; it is logged with the decision.
    Unlocks
    Build the bid plan.
  8. Build the bid plan

    Why
The matrix becomes owned, trackable questions plus the submission checklist.
    WayWiser does
Materialises every question from the analysis — ref, weight, word limit, rubric — and the checklist items the pack demands.
    You do
Click Create bid plan once, then assign owners.
    Unlocks
Draft & review, in each question’s workspace.
  9. Draft & review

    Why
Grounded drafts you can defend — every claim cites its source or wears an amber flag.
    WayWiser does
Writes a first draft per question from your labelled evidence, with citations, then reviews it against the buyer’s rubric and returns gaps and coverage — a review, never a score forecast.
    You do
Edit, insert evidence, close the gaps, request a review, sign off.
    Unlocks
    Assemble & submit.
  10. Assemble & submit

    Why
One document, every question, inside every limit.
    WayWiser does
Totals the words against each limit, lists what is still outstanding on the checklist, and exports a branded or portal-plain DOCX.
    You do
Export, upload to the portal, then Mark as submitted.
    Unlocks
    The outcome queue.
  11. Record the outcome

    Why
It labels your evidence won or lost: the next go / no-go counts won answers as capability evidence, and every citation in a draft shows the outcome it came from.
    WayWiser does
Converts the submitted answers into outcome-labelled response units in your knowledge base.
    You do
Enter won or lost, the buyer’s scores and any feedback verbatim.
    Unlocks
A better-evidenced go / no-go and draft on the next bid.
